Account Maintenance

We are occasionally asked about account maintenance time. What it is and when is it charged are the typical questions.

With all of our rate plans, the price quoted is always for "Operator Talk Time". Operator talk time is just that, time an operator spends answering your calls and delivering your messages. Occasionally, a client needs us to perform work for them beyond the scope of answering calls and this is generally what we refer to as “account maintenance time”.

When we first set your account up, you provided us with information relating to how we answer your calls, what information we must gather from callers and how we are to get that information to you. For most companies, this information rarely changes, but when it does, a member of our staff must take the time to change the information on your account screens. This is one type of account maintenance. Changing cell numbers, answer phrases, staff changes or on-call schedules are typical examples. Most times, these changes take a very minimal amount of time.

Some clients require more than just a simple change. For example, many real estate companies have us keep a listing of their properties and agents. Property listings are used by our operators to determine which agent should receive a particular message, usually based on which agent is handling a particular property the caller is interested in. Our operators review the property listings to determine which agent is handling that particular property and dispatches the message to the appropriate agent.

New properties are added every month to the listing, some properties are deleted because they are sold and on occasion the agents assigned to properties change. For these reasons, the property list needs to be "updated", usually on a monthly basis. This updating can sometimes take several hours to complete, depending on how many changes are necessary. These changes are performed by our staff and we bill "account maintenance" time for this work.

Most accounts never see additional charges for account maintenance. Only if we must perform additional work beyond the normal scope of operation for your account will account maintenance charges apply.
